In order to give cast members access to sale data for their production your organisation will need the Players feature licensed. See here for more information: The Player Tab in the Patron Window - Understanding it and setting it up.
Step 1:
Make sure the production in question is associated with the promoter of the event:

Step 2:
In the Marketing Module or Box Office Module - where the Player tab will be visible - go to Find Patron to find a cast member and if they are not there, create them.
Click on the Player tab and you will get the following message:

Click Yes and you will see the Player Tab open
Step 4:
Step 5:
Select the production and then create the role that the patron is playing
Step 6:
Then click the select button. You can select exactly which performances the cast are playing, for example, if you have a dual cast or understudies/swings.
Step 7:
Now, in under the promoters login, promoters can select cast and crew who should have access to the data. When promoters log in (see What is the Promoters' login link? for more information), they need to go to Players, here:

They will then see a list of their players come up:

All they will have to do then is tick the appropriate boxes and update to give the player patrons permission to access the
data.
Note: Each Player will need to have an email address tied to their Patron record as they will be using this to log in to access the data. This should be the email that they registered with to purchase tickets. If they are not registered you can send them the link to register on your system <YourCountry.patronbase.com/_OrgID/Patron/Register>. Alternatively they will have to go to the *normal* login to purchase tickets and click the "forgot" button to create a password if they don't have one already ... to get a reset password link to enter a password. |
Step 10:
Now, when I go to the promoters log-in under the patron tied to the Janet Frame role and enter the email address tied to my patron AND my patron's normal patronbase (purchasing tickets) password:
The Player Patron will see this:
So when they click on Ticket Status etc. they can see the details of just that show they are involved with:
Please note that this also adds a cast list button on the What's On page here (if Players is licensed):
Once clicked it will produce the following:
Click through on a name to see a list of all the previous roles the cast member has held at the organisation that have been recorded on the system.
